1. About this policy
APIRender.com Pty Ltd (ABN 74 636 488 027) trading as Crane Day Studio (Crane Day Studio, we, us, our) respects your privacy.
This policy explains how we collect, hold, use, disclose, and protect personal information, and how you can access, correct, or complain about our handling of it. It applies to our website at cranedaystudio.com (the Site), our client and prospective client relationships, and our other business activities.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs). We do this as a matter of commitment to good practice, and this policy applies regardless of whether any exemption under the Privacy Act may be available to us at a particular time.
Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.
2. What personal information we collect
The information we collect depends on how you interact with us.
When you enquire or make contact. Name, business or organisation name, role or job title, email address, phone number, and the content of your enquiry, brief, or message — including anything you choose to tell us about your project, business, or requirements.
When you become a client, or we discuss becoming one. Contact details for you and your nominated team members, project and brief information, billing and account details, correspondence, feedback and approvals, and records of meetings, calls, and decisions relating to the engagement.
When we produce creative work. In the course of branding, photography, film, and visual storytelling work, we may collect images, video, audio recordings, and biographical details of individuals who appear in or contribute to that work — for example, founders, staff, site personnel, or contributors featured in a campaign. Where we do, we obtain appropriate consents and releases through the relevant engagement.
When you subscribe or follow our writing. Name and email address, and information about whether you have opened or clicked our emails.
When you apply to work with us. Your CV, portfolio, work history, qualifications, referee details, and any other information you provide as part of an application or expression of interest.
When you visit the Site. Technical and usage information collected automatically, including IP address, approximate location derived from it, browser type and version, device and operating system, referring website, pages viewed, time and duration of visits, and interactions with the Site.
Sensitive information
We do not generally collect sensitive information (such as health information, or information about race, religion, political opinions, or sexual orientation). If we ever need to, we will collect it only with your consent and only where it is reasonably necessary for our functions or activities.
3. How we collect personal information
We collect personal information:
- Directly from you — when you complete a form on the Site, email or call us, meet with us, engage us, respond to our work, or apply for a role;
- Automatically — through cookies, analytics, and server logs when you use the Site (see section 7);
- From third parties — such as our clients (where they provide details of their team, contributors, or customers in connection with a project), publicly available business sources, professional networks and referrals, and our service providers.
Where we collect your personal information from someone other than you, we will take reasonable steps to make you aware of that collection and of this policy, unless an exception under the APPs applies.
Can you deal with us anonymously? You can browse the Site without identifying yourself, and you may raise a general question with us anonymously or under a pseudonym. However, we usually cannot respond to a project enquiry, provide a proposal, or deliver services without knowing who you are.
4. Why we collect, hold, use, and disclose personal information
We use personal information for the following purposes:
- responding to your enquiry and providing information about our services;
- preparing proposals, scopes, quotes, and engagement documents;
- delivering our services — including branding, visual storytelling, media, and related creative and strategic work — and communicating with you during a project;
- producing, publishing, and distributing creative work and media materials on behalf of clients, in accordance with the relevant engagement and any consents obtained;
- managing our client relationships, including invoicing, payment, and account administration;
- showcasing our work in our portfolio, case studies, credentials, and marketing, where we have the necessary rights and permissions;
- sending you updates, articles, and information about our services where you have asked to receive them or where we are otherwise permitted to (see section 8);
- operating, maintaining, securing, and improving the Site and understanding how it is used;
- recruitment and assessing applications;
- meeting our legal, tax, insurance, and record-keeping obligations, and establishing, exercising, or defending legal claims; and
- any other purpose you would reasonably expect, or that we tell you about at the time of collection, or to which you consent.
We will not use or disclose your personal information for an unrelated purpose without your consent, unless permitted or required by law.
5. Who we disclose personal information to
We may disclose personal information to:
- our people — our directors, employees, and contractors, on a need-to-know basis;
- specialist collaborators — photographers, videographers, editors, designers, writers, developers, stylists, and other creative or technical contractors engaged on a project, where disclosure is necessary for the work;
- service providers — including our website platform and hosting providers, email and email marketing providers, cloud storage and file transfer providers, analytics providers, CRM and project management tools, accounting and invoicing software, and payment processors;
- media and publishing partners — where a project involves distribution, placement, or publication, and only as contemplated by the relevant engagement;
- professional advisers — our lawyers, accountants, auditors, and insurers;
- a purchaser — if we sell or restructure all or part of our business, subject to appropriate confidentiality protections; and
- others as required or authorised by law, including to courts, regulators, or law enforcement.
We require our service providers and contractors to handle personal information consistently with this policy and their obligations under the Privacy Act, and to use it only for the purposes for which we provided it.
We do not sell personal information, and we do not disclose it to third parties for their own independent marketing purposes.
6. Overseas disclosure
Some of our service providers store or process information outside Australia. This includes our website platform, hosting, cloud storage, email, analytics, and marketing tools, which are commonly located in the United States and the European Union, and may involve data centres in other countries depending on the provider.
Before disclosing personal information overseas, we take steps that are reasonable in the circumstances to ensure the recipient handles it in a manner consistent with the APPs — typically through contractual commitments in the provider's terms and data processing agreements. However, we cannot guarantee that overseas recipients will be subject to privacy laws equivalent to Australian law, and you may not have the same enforcement options in those jurisdictions.

7. Cookies, analytics, and the Site
The Site uses cookies and similar technologies. Cookies are small files stored on your device that let a site recognise your browser and remember certain information.
We use:
- Essential cookies, which are necessary for the Site to function, load correctly, and remain secure;
- Analytics cookies, which help us understand how visitors find and use the Site — such as which pages are viewed, how long people stay, and where traffic comes from — so we can improve it.
Analytics data is generally aggregated and does not identify you personally, though IP addresses and device identifiers may be collected as part of the process.
You can control or disable cookies through your browser settings, and most browsers let you delete existing cookies or block new ones. If you block essential cookies, parts of the Site may not work properly.
Some third-party services embedded in the Site (for example, video players, fonts, or social media links) may set their own cookies. Those services are governed by their own privacy policies.
8. Direct marketing and communications
We may send you information about our work, services, and articles by email where you have subscribed, where you are an existing client, or where you have enquired and would reasonably expect to hear from us.
Every marketing email we send includes an unsubscribe link, and we will honour opt-out requests promptly. You can also opt out at any time by emailing hello@cranedaystudio.com.
We comply with the Spam Act 2003 (Cth) in relation to commercial electronic messages. Opting out of marketing does not stop us sending you operational or project-related communications while we are working together.
9. How we hold and protect personal information
We hold personal information in electronic form — in cloud-based systems, email, project management tools, and file storage — and occasionally in hard copy.
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include access controls and permissions, multi-factor authentication where available, encrypted transmission and storage through our providers, restricting access to those who need it, confidentiality obligations in our contractor and employment arrangements, and periodic review of our systems.
No method of transmission over the internet or electronic storage is completely secure. While we work to protect your information, we cannot guarantee absolute security, and any transmission of information to us is at your own risk.
10. Data breaches
We maintain procedures for identifying, containing, assessing, and responding to suspected data breaches.
If a data breach occurs that is likely to result in serious harm to any individual whose personal information is involved, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.
11. How long we keep personal information
We keep personal information only for as long as it is needed for the purposes described in this policy, or for as long as we are required to keep it by law.
This generally means we retain client and project records for at least seven years after an engagement ends, to meet tax, statutory record-keeping, insurance, and limitation period requirements. Archived creative work and project files may be retained longer where they form part of our portfolio or where a client licence remains on foot.
When personal information is no longer needed and we are not required to retain it, we will take reasonable steps to destroy it or de-identify it.
12. Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading.
To make a request, email hello@cranedaystudio.com. We may ask you to verify your identity before we act on a request.
We will respond within a reasonable period, usually within 30 days. Access is generally free, though we may charge a reasonable fee for the time and cost involved in retrieving and supplying substantial amounts of information — we will tell you before we do.
In some circumstances we may refuse access or correction, for example where it would unreasonably affect another person's privacy, where the information relates to a commercially sensitive decision-making process, or where the law permits or requires us to refuse. If we refuse, we will explain why in writing and tell you how to complain.
13. Complaints
If you think we have breached the APPs or mishandled your personal information, please tell us first so we can try to resolve it.
Email hello@cranedaystudio.com with the subject line "Privacy Complaint", setting out what happened and how you would like it resolved. We will acknowledge your complaint promptly, investigate it, and aim to respond within 30 days. If we need longer, we will keep you informed.

14. Third-party sites
The Site may link to third-party websites, platforms, and social media accounts. We are not responsible for the privacy practices or content of those sites. We encourage you to read the privacy policy of any site you visit through a link from ours.
15. Children
The Site is directed at businesses and business professionals and is not intended for children. We do not knowingly collect personal information from anyone under 18 through the Site. If you believe we have, please contact us and we will take steps to delete it.
Where creative work involves individuals under 18 — for example, a person appearing in a photograph or film — we obtain consent from a parent or guardian through the relevant engagement.
16. Changes to this policy
We may update this policy from time to time to reflect changes to our practices, our systems, or the law. The current version will always be available on this page with the date it was last updated. Where changes are significant, we will take reasonable steps to notify you.
